The Demo Operations Specialist, Automation & AI builds and personalizes demo tenants from reusable templates so our Sales/Solutions teams can run consistent, high-quality demos at scale. This role owns the demo template library, content/data packs, and QA standards to keep demo environments reliable and up to date as the product evolves.
Important: This role is not responsible for presenting demos to customers. You will work behind the scenes to prepare and maintain demo tenants and enable others to demo effectively. You’ll also partner with an internal engineer to progressively automate repetitive setup work (including AI-assisted workflows).
*Missions*
Demo Tenant Build & Personalization
Build, configure, and refresh demo tenants using cloning/templating tools and internal standards.
Personalize tenants for specific industries, personas, and use cases (content, users, roles, permissions, workflows).
Ensure demo tenants operate smoothly across web, mobile, and app experiences.
Maintain “demo-ready” configurations that align with current product capabilities and approved demo flows.
Template Library & Asset Management
Own a library of reusable templates, components, themes/skins, and demo assets.
Manage versioning and documentation: what changed, when, and why (release notes / change log).
Drive reuse by standardizing the building blocks (content packs, user packs, workflow packs).
Deprecate outdated templates and ensure replacements are communicated and easy to adopt.
Content & Data Operations
Create and maintain demo content (pages, posts, widgets, events, media assets, policies, etc.).
Build realistic demo datasets (users, groups, org structures, permissions) to simulate real environments.
Keep demo data clean, consistent, and aligned with product updates (reduce “broken demo” risk).
Maintain naming conventions and a predictable structure so builds are easy to replicate.
Process, Quality Assurance & Reliability
Run QA checklists for every tenant before it’s marked “demo-ready” (permissions, navigation, key flows, performance).
Triage and resolve issues quickly; document root causes and prevention steps.
Maintain a simple intake → build → QA → release workflow (tickets, priorities, SLAs, status updates).
Track recurring issues and propose fixes to reduce future breakage.
Automation & AI Enablement (in partnership with Engineering)
Identify repetitive build steps and define automation opportunities (requirements, acceptance criteria, edge cases).
Support testing/UAT for automations shipped by the internal engineer; validate impact on quality and throughput.
Use AI tools responsibly to speed up repeatable work (e.g., content drafting, data shaping, documentation, checklists).
Contribute to scalable “demo factory” practices: playbooks, templates, and continuous improvement.
Cross-Functional Collaboration (Internal-Facing)
Collaborate with Solutions Consultants, Sales Enablement, Product Marketing, and Product to align demo tenants with approved demo flows and messaging.
Gather requirements from internal stakeholders and translate them into tenant configurations and build plans.
Provide feedback loops to Product on demo environment stability and gaps surfaced during builds.
*Skills*
Platform / Configuration Skills
Hands-on experience configuring SaaS tools or digital experiences (admin/config, low-code/no-code, CMS/intranet platforms, etc.).
Ability to structure navigation, content, permissions, user groups, and roles in a clean, scalable way.
Comfortable using cloning/templating tools and working with structured data (CSV/JSON concepts).
Operations & QA Mindset
Strong attention to detail and quality standards; you like checklists and consistency.
Ability to manage multiple requests at once and keep stakeholders informed (priorities, timelines, status).
Comfort working in a ticket-based workflow (e.g., Jira/Asana/Trello) and documenting processes.
Automation & AI Fluency
Interest in automation and systems improvement; you naturally look for ways to reduce manual work.
Practical experience using AI assistants/tools to accelerate routine tasks (documentation, data prep, content drafts) with good judgment.
Ability to describe steps clearly and help test/validate automation changes (you don’t need to be the engineer building it).
Communication (Internal)
Clear written communication for requirements, build notes, and change logs.
Collaborative approach across teams; able to translate requests into actionable build specs.
General Attributes
Organized, reliable, and process-oriented; consistent output matters to you.
Comfortable operating in a fast-moving SaaS environment with evolving product features.
Ownership mentality: you close loops, keep the library clean, and reduce “demo breakage.”
Preferred Experience
Experience supporting demo environments, enablement, internal tooling, or sales/CS operations (internal-facing).
Experience in Solutions Consulting, Demo Engineering, Product Marketing, or UX/UI roles.
Familiarity with HTML/CSS basics (not required but considered an asset).
Basic scripting experience (Python/JavaScript) or no-code automation tools (Zapier/Make) is a plus.
